Job Description


  • Schedule appointments and meetings, maintain calendars and assure all required information is prepared for scheduled appointments and meetings.
  • Prepare, edit and proofread general correspondence including memos, letters, spreadsheets, e-mails, corporate forms, presentations, etc.
  • Provide comprehensive support for meeting preparation and attendance including agenda preparation and distribution, meeting minutes, equipment set up, travel arrangements, etc.
  • Assist department staff with special projects, presentation development, preparation and monitoring of budget, office supply inventory, etc.
  • Track equipment and coordinate repairs including changes and upgrades.
  • General administrative duties include mail distribution, filing, faxing and maintaining office supplies.
  • Receptionist duties including answering and transferring phone calls, welcome guests and resolving routine inquires.
  • Scan and track incoming business documents.
  • Using Excel and Adobe, provide support to multiple departments.
  • Create content for the company intranet.
  • Assists with coordination office activities and maintaining confidentiality of information processed. Prioritizes and follows up on information and incoming/outgoing requests, keeping management updated as necessary.
  • Monitors the ongoing status of projects and follows up on open items as necessary.

    High School Graduate or GED equivalent required.


    Two years administrative support experience or equivalent combination of education and experience.


  • Typing speed of 45 w.p.m. required.
  • Proficient in the use of PC applications, i.e., Excel and Word and several types of office equipment.
  • Excellent verbal and written communication skills required.
  • Proficiency in business English.
  • Must pass secretarial testing process.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Excellent customer service and organizational skills required.
  • Understanding of office practices and procedures.
  • Knowledge of Professional Communications including punctuation, spelling and grammar.
  • Attention to detail and multi-tasking skills required.
  • Ability to complete work within specified timeframes.
  • Ability to work effectively independently.


    Work is performed in an office setting with no unusual hazards.
